Formats of A Business Letter

Formats of a Business Letter Format # 2: Semi-block Style • some companies adopt the semi- block style letter for a more balanced look • the paragraphs are indented five spaces from the left hand margin • the dateline and the closing are placed to the right of the page center Example of a semi-block style letter Letterhead XXX (dateline) XXXX(recipient's name and address) XXX(salutation): This is an example of a semi-block style letter. This section will be brief as there are really only three kinds of formats of business letters. Some reference books provide four formats. XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX Note that the beginning sentence of each paragraph is indented like this one. XXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX 0000000000XXXXXXXX Format # 1: Full Block Style a favorite of many because of its simplicity and formality. No indentations appear on the letter. All components are typed against the left hand margin. • there is no rule which dictates the correct block style. Secretaries who prepare letters will usually adopt the block style with some or no modifications. Example of the block style letter: XXXXXXXXXXXXXXXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX. XXX (closing) XXX (signatory name and title) XXxx (reference initials) XX (enclosure) XX (cc or bc) Format # 3: Modified Block Style This is identical to the semi-block style except for three things: the (a) dateline and the (b) complimentary closing are typed slightly to the right of the page center as in the preceding example. There are (c) NO indentations in the paragraphs. Example of a modified block letter Letterhead Letterhead XXX(date) XXX(recipient's name and address) XXX(salutation) XXX(subject) XXX(body of letter) XXX (dateline) XXXX(recipient's name and address) XXX(salutation): This is an example of a modified block style letter. Note that there is no indentation in the paragraphs of the body of the letter. XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXXXXXX0 This is the second paragraph. It is NOT indented. XXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXXX XXXXXXXXXXXXXXXXXXXXXXXXXXXX0XXXXXXXXXXXXXXXXXXXXXXXXXXX000000XX XXXXXXXXXXXXXXXXXXXXXXXXXX. XXX (closing) XXX (signatory name and title) XXXXX0XXXXXXXXXXX XXX(closing) XXX(signatory and title) XXXireference initials) XXXX (reference initials) XX (enclosure) XX (cc or bc) These are the standard components of a business letter. Today's business letters may have one or two components missing - or even more. There are some companies that prefer to preserve traditional practices in their business correspondence while other companies will be less stringent on how a letter should be written and presented.
